Best AI tools for realtors

Most agents can cover the busywork with five tools: ChatGPT for listing descriptions and emails, Calendly for booking showings, Fireflies.ai for call notes, Docusign for signatures, and Upfirst to answer the phone when you can’t. Four of the five have a free plan or a free trial, so you can try them before you pay.

1. ChatGPT: best for writing listings and emails

Why it fits realtors. Ask ChatGPT for a first draft of a listing description, a follow-up email, or a week of social posts, then edit it in your own voice. The free plan includes unlimited text chats, limited image creation, and limited voice chats. It works on the web and in the iOS and Android apps.

Watch out. Always check facts like square footage, taxes, and features against the listing before you post. Your board’s rules on advertising still apply to anything it writes.

2. Calendly: best for booking showings

Why it fits realtors. Send one link and buyers pick a time that works with your calendar. The free plan includes one event type, one calendar connection, and a booking page you can customize. Standard adds unlimited event types, so you can set up separate links for showings, listing appointments, and buyer consults. Calendly also offers an AI Notetaker and Callie, an AI assistant (in beta) that schedules over email.

Watch out. The free plan allows only one event type and one calendar connection. Most busy agents will need Standard.

3. Fireflies.ai: best for call and meeting notes

Why it fits realtors. Fireflies joins Zoom, Google Meet, and Teams calls and writes up the transcript and an AI summary, so you don’t lose what a buyer said they wanted. You can also upload a recording, and there are iOS and Android apps. The free plan includes unlimited transcription with limited AI summaries.

Watch out. It’s built for online meetings and uploaded recordings, not for an in-person showing unless you record and upload it. Ask clients before you record. Unlimited AI summaries start on Pro.

4. Docusign eSignature: best for signatures

Why it fits realtors. Docusign stores your agreements in one place. The pricing page says it includes an AI-assisted summary of agreements, which speeds things up. Standard adds shared templates for your team.

Watch out. Personal allows only 5 envelopes a month, which a busy agent can use up in a week. Standard (US$30 per user/mo, billed yearly) allows 100 envelopes per user per year, not per month. Your brokerage may already provide an e-signature tool, so check before you buy.

5. Upfirst: best for calls you can’t take

Why it fits realtors. Upfirst has a real estate page and answers calls 24/7, or only after hours or when you’re busy. It texts or emails you a summary after each call, and it can book into your calendar (Google, Outlook, Calendly, and others) or text a caller a link mid-call.

Watch out. Starter includes 30 calls a month, then US$1.50 a call, so a busy listing can push your bill up.
