Best AI tools for small business owners

You don’t need a dozen AI apps. One good tool each for writing, books, bookings, calls, notes, and signatures covers most of a small owner’s week. Start with ChatGPT and QuickBooks Online, then add the others as each job starts eating your time. Five of the six offer a free plan or a free trial.

1. ChatGPT: your writing helper

Why it’s on the list. It turns a few rough notes into a customer email, a product description, or a week of social posts in seconds. The free plan gives you unlimited text chats, plus some image creation and voice chat. You can use it on the web or in the iOS and Android apps.

Watch out. Read everything before you send it. It can get facts wrong, so check prices, dates, and promises yourself.

2. QuickBooks Online: books that mostly keep themselves

Why it’s on the list. QuickBooks learns how you sort your income and expenses, then records matching transactions for you. On Simple Start and up, its AI (Intuit calls it Intuit Intelligence) categorizes expenses, and you can chat with it for quick answers about your numbers. Invoices go out with card and bank payment built in through QuickBooks Payments.

Watch out. The US free plan sends only 2 invoices a month unless you turn on QuickBooks Payments, and it has no mobile app. Most owners will want Simple Start or higher.

3. Calendly: no more back-and-forth over times

Why it’s on the list. Share a link, and customers pick an open slot that already fits your calendar. The free plan covers one type of meeting and one calendar. Calendly also offers an AI Notetaker and an AI assistant, Callie (in beta), that schedules over email.

Watch out. If you offer more than one kind of appointment, you’ll need Standard for unlimited event types.

4. Upfirst: a receptionist that doesn’t take breaks

Why it’s on the list. Upfirst picks up calls day and night, or only after hours or when your line is busy. It sends you a text or email summary after every call and can book callers straight into your calendar. Its page lists 35+ languages.

Watch out. You pay by the call. Starter includes 30 calls a month, and each extra one is US$1.50.

5. Fireflies.ai: meeting notes you don’t have to take

Why it’s on the list. Fireflies joins your Zoom, Google Meet, or Teams calls and writes a transcript and an AI summary. On the free plan, transcription is unlimited.

Watch out. AI summaries are limited on the free plan, and storage is capped at 400 minutes per team. Unlimited summaries start on Pro.

6. Docusign eSignature: signed without the printer

Why it’s on the list. You send a quote or contract and the customer signs online. Docusign keeps your agreements in one place, and its pricing page lists an AI-assisted summary to help agreements get finished faster.

Watch out. The Personal plan allows 5 envelopes a month. Standard (US$30 per user/mo, billed yearly) gives each user 100 envelopes a year.
